Who We’re Looking For

A successful HelpLine Nurse Manager is responsible for overseeing the HelpLine’s referral, admissions, level of care (LOC), approval of Maryland ASAM’s, medical/clinical acuity placement processes in addition to all related administrative functions. This position serves as the coordinator for new admissions and confirms that all aspects of the intake and LOC assessment process have been completed and recorded in the electronic health record (EHR) system within the required timeframes. This role requires considerable contact with external entities including referral sources, community, and internal program management including ongoing working relationship with Gaudenzia’s medical, clinical, facility operations, and marketing department.

 

Major responsibilities include, but are not limited to: supporting the achievement of program utilization goals and objectives; assisting with the completion of conducting intake and LOC assessments, including ASAM, with a focus creating a client-centered experience; entering timely and accurate intake and assessment data into Pennsylvania Web Infrastructure for Treatment Services (PA WITS) and the agency’s HER and CRM systems; communicating clearly with team members; and tracking referrals and generating daily reports of admission and discharge statuses.

 

Work is performed with considerable independence in accordance with established regulations, policies, and procedures. Work is reviewed and supervised by the HelpLine Director, to whom this individual reports.

Responsibilities

Your responsibilities in this role may include:

  • Treat all clients and staff with dignity and respect
  • Complete all requisite DDAP trainings within required timeframes
  • Manage all phases of pre-admission /intake LOC assessment services for assigned program(s)
  • Manage the daily census of assigned programs and generate daily reports
  • Maintain efficient admissions/intake LOC assessment procedures, ensuring timely and appropriate referrals to program
  • Review and analyze medical and clinical assessment information for clients as it relates to admission and document in chart within 24 hours of admission in accordance with established program policies and state regulation
  • Participate with the HelpLine team to screen, assess, evaluate, determine, and approve the need for services
  • Complete telephonic and face-to-face interviews with individuals presenting for admission and/or LOC assessment
  • Oversee and ensure client intake to care/transition, ensuring completion of admission workflows and documentation within the electronic health record system
  • Ensure that clients have appropriate medical coverage to guarantee safety, adequate care, and provider compliance for payment
  • Complete all required reports for funding sources
  • Participate in treatment/multidisciplinary team meetings, as directed
  • Establish and maintain positive relationships with all Gaudenzia program and medical staff, in order to understand the medical/clinical needs of each program
  • Participate in ongoing training under Gaudenzia’s medical professionals.
  • In coordination with HelpLine leadership, develop, and coordinate HelpLine staff on medical processes of assessment/approval through the HelpLine
  • Maintain proficiency in assessment, intake, and level of care protocols, utilizing the ASAM criteria
  • Ensure accurate, up-to-date, intake records, records of referral, and funding sources
  • Establish and maintain positive relationships with funding, referral and regulatory agencies
  • Schedule and assign transportation for clients post review approval
  • Oversee the electronic referral submission processes Gaudenzia utilizes to review client admissions, ensuring timely and accurate client placement.
  • Maintain and or obtain medical licensure of RN needed for the success of this position
  • Other duties as assigned by the HelpLine Supervisors or HelpLine Director, or designee

Qualifications

Qualifications for this role:

 

Education/ Training:

Degree from an accredited college or university’s professional nursing program; A valid nursing license is required, and the nursing license must remain valid and within good standing while employed within this position.

 

Strongly Prefer :

Experience in the Drug and Alcohol Addiction Treatment space, assessing the medical needs of clients.   Bonus points if you have Call Center experience.     

 

SKILLS, KNOWLEDGE, AND ABILITIES

  • Knowledge and skill in assessment/evaluation and intake process and procedures
  • Knowledge of ASAM Criteria and the levels of care
  • Knowledge of the specific health care issues and co-morbidities experienced by individuals with substance use disorder and mental illness
  • Knowledge of special population being served, including individuals on medication-assisted treatment (MAT), individuals with criminal justice involvement, women and children, homeless, HIV/AIDS, etc.
  • Knowledge of correct record keeping in accordance with regulatory agencies and standards of practice
  • Knowledge of the basic principles, philosophies, practices, and procedures of Gaudenzia’s treatment programs
  • Knowledge of the biopsychosocial characteristics and maladaptive behaviors of substance use disorders and/or mental illness
  • Knowledge of substance use and mental health disorder treatment programs, including familiarity with area providers
  • Knowledge and ability to work with electronic health record systems and PA WITS system
  • Ability to communicate effectively, both verbally and in writing
  • Ability to operate electronic health record systems and accurately record and interpret medical data
  • Ability to work with clients to gain confidence and cooperation
  • Ability to successfully work with others from various cultures and backgrounds
  • Ability to plan and organize work and prepare appropriate, accurate records, and reports
  • Ability to establish and maintain effective working relationships with clients, staff, health care providers, referral entities, outside agencies, institutions and the general public
  • Skilled at using computers, including familiarity and faculty with Microsoft Office programs like Word and Excel
